But for teams operating in regulated environments, the more important question isn’t how much a tool can do on its own but rather how their actions can be defended when an inspector asks. While AI should augment human decision-making, AI should not replace it. It is also important to consider the pace and sequencing of actions in the AI-augmented workflow. As our product team puts it, ACE‘s AI direction is “compliance first,” embedding AI in ways that are compliant and do not remove the need for human oversight, and when moving toward more autonomous capabilities, heavier scrutiny is used.
The principle behind ACE Intelligence is simple: a human being must submit any action the AI proposes. Every feature either displays information for a person to interpret or generates a suggestion that requires human confirmation before it is committed as record data; the AI does not submit anything on its own.
ACE Intelligence is user-assistive only — it does not autonomously update records, submit workflows, or bypass ACE approval controls. In practice, ACE Intelligence can summarize records, draft a document from notes, and check work against regulatory standards, however handling the output goes back to the human operator for review, revision, and approval.
Governed augmentation only holds up if the data handling holds up. ACE Intelligence operates inside the ACE security boundary and inherits tenant isolation, authentication, and record-level access controls; customer data is never used to train models. Permission filtering happens before any data leaves ACE: if a user can’t see a record, that record can’t enter the prompt, and only the minimal context required to answer the request is ever sent.
Traceability is built into the platform; access can be configured granularly by user, role, or group. Every prompt, response, and AI action is tied to a user and available for usage metrics, and prompt logs store interactions in dedicated audit records for governance review. Role-based personas and ready-made prompt templates keep outputs aligned to appropriate context and roles, which improves consistency without requiring anyone to write advanced code.
ACE, and by extension ACE Intelligence, follows a structured, risk-based implementation approach grounded in industry best practice and aligned with the FDA’s CSA guidance and EU Annex 11. A dedicated team — including an account manager, regional project managers, configuration experts, and an in-house validation team — supports clients through implementation. Post implementation hypercare, live walkthroughs, and on-site training are also available throughout the process.
Because AI is only as trustworthy as its inputs, data migration during implementation is done by a formal, risk-based process using pre-migration screening and automated verification, so the AI is reasoning over clean, attributable data from day one. ACE Intelligence itself is delivered as a configurable module with granular enablement, so organizations decide exactly where and how AI is turned on.
Adoption doesn’t end at go-live.
