One question we hear from teams evaluating an electronic quality management system (eQMS) is deceptively simple: can a record’s lifecycle be spent inside one platform? That might seem impossible if the operator is used to working in fragmented environments; a single deviation might start in an email thread, pulling data from a spreadsheet, triggering a training assignment in a separate learning system, and the concluding record ends up archived on a cloud drive.

Rather than typing the initial description cold, ACE Intelligence can be prompted to draft it based on notes, summarizing events, suggesting affected equipment, drafting an initial problem statement, and even proposing a starting point for the root cause questions. Context can also be pulled from related records and quality events so the draft keeps with the format of previous records.
A key point here is that ACE Intelligence accelerates the drafting step without taking control of the record itself. Everything it produces is a draft meant for reviews and edits, so the speed and efficiency of AI assistance is accessible to users while also maintaining traceability.
Right after record creation finishes, collaboration can begin. Teams can edit the record as needed with additional details and upload supporting files and organize them into folders. Comments can be made by team members, and other related records can be brought in and linked. If a reason for change is needed for an entry field, ACE will prompt users to leave a statement, and every edit in the record tracked in the audit trail.
Transitioning between different states is the core system of record maintenance in ACE. Records are able to be transitioned to different states in the workflow once select conditions are met; if conditions are not met, ACE will be able to tell the operator what is blocking progress. When a step requires a signoff, the transition will require credentialed approval from designated users. Delegations are also available to be set for team members if they are not available.
A deviation rarely closes on its own; records like deviations trigger downstream records connected through ACE’s parent-child architecture. Examples of these connections include Deviations to CAPAs, and CAPAs to Change Controls.
These connections also ensure that documents are ready come inspection time. If an auditor asks whether a deviation triggered the appropriate downstream actions, the evidence appears as one connected record chain, and not something reconstructed from separate systems.
With the record chain fully integrated into the eQMS platform, ACE Analytics dashboards can pull information directly from the same data that drives the records, along with data that are in the records themselves. That means data like asset information, open-deviation counts, CAPA closure rates, and overdue maintenance actions can all be seen on customizable ACE dashboards, and analyses are based on the source material, not an exported copy that drifts out of date.
When an inspection arrives, ACE Inspection brings documents to the forefront. Teams can use this module to stage the SOPs, training records, and deviations inspectors typically request, and capture every request in a centralized platform with assignees and deadlines. Because ACE Inspection runs on the same ACE platform and the same data, nothing has to be exported or re-created for the auditor.
When a record is ready to be closed or archived, it can be transitioned to a locked state where it can no longer be edited. If a snapshot of the record is needed for external sharing, a copy of it can be exported but the source file stays in ACE. Archived documents are not deleted, and the audit trail remains permanent and cannot be disabled or modified. Years later down the road, the full history of the record remains retrievable at a few clicks of a button.
The value of a truly connected eQMS for document management is not just in any single feature, but rather what happens across the full lifecycle of a record. When creation, collaboration, downstream action, monitoring, inspection, and archival all take place on the same platform, with shared data and a single audit trail, there is no need for system-hopping and unnecessary data exports.
