Supplier and vendor oversight is one of the heavier lifts in a modern quality operation. Every new vendor requires a questionnaire, on top of vendor audits bringing document requests and risk evaluations. For teams that work with manual quality management systems, this also leads to difficulties in record retrieval during an inspection. ACE Assessment was built to replace patchwork assessment processes with a single, defensible system of record.
ACE Assessment is ACE’s module for third-party risk and audit management, purpose-built for life sciences. It centralizes supplier audits and vendor questionnaires in a secure, audit-ready environment, standardizing how evaluations are created, scored, and tracked across quality and procurement teams.
These are some of the capabilities available on ACE Assessment:
Like all ACE modules, a full audit trail is available that tracks user actions and uploaded documents, and the module inherits ACE’s enterprise-grade security. Because it runs inside the broader ACE platform, findings don’t sit in isolation. Third-party audits and issues can be linked directly to internal records like deviations and CAPAs, which cuts down on time spent trying to find affected documents if there is a vendor status change.
A clear picture of the module at work comes from how a client structures vendor communication and audit records inside ACE. The approach is straightforward and repeatable, which means that it can be used again and again with other vendors.
A vendor’s audit and communication history can be captured in a Vendor Audit Record. Before any interaction, the team locates that vendor’s record, so everything stays tied to the correct supplier rather than scattered across inboxes. Vendor audit communications are captured, with information such as date, participants involved, and observations to build a continuous, time-stamped history for that vendor.
The process also closes the loop on accountability. Vendors can review and approve recorded communication, creating a documented safeguard. Just as important, the team can assign different risk levels to different vendors. Commodity, off-the-shelf suppliers can be deemed low risk, and attention is concentrated on complex vendors where there is higher risk and be prioritized accordingly.
What ACE Assessment clients consistently point to is the shift in visibility. They now have clear visibility, instead of sending questionnaires by email and hoping for timely and complete responses, and they can see and track a vendor assessment’s progress, adapting how their programs are managed accordingly. Configurable scoring and weighting give an instant overview of completed assessments and close the gap that manual processes leave open.
Vendor risk management can be difficult due to the scatted tools used in the work, causing incomplete workflows. ACE Assessment consolidates questionnaires, scoring, approvals, and evidence into one system, which then can be connected to the CAPA and document processes that turn a finding into an action. For quality teams facing more audits and more questions about their suppliers, this consolidation can be used to save hundreds of hours of manual legwork by the quality team.
